Client Services Representative

Role & Responsibility

A Client Services Representative will work to ensure client satisfaction with Oregon’s products and services. Be a key primary point of contact for a client. Includes directing and controlling the processing and fulfillment of orders, fielding customer inquiries, and resolving customer complaints. Streamline business operations, provide product training to customers, discuss technical aspects about a product, and oversee marketing campaigns and direct mail campaigns. Develop procedures, establish standards, and track shipments to ensure that delivery occurs timely. Work with logistics, transportation, sales, and other departments for coordination purposes.

Continue to help maintain existing business with current clients, grow business relationships with current clients and assist in bringing new clients on board. Maintain proactive ongoing client relationships that best demonstrates forward thinking and management of client projects. Help clients to better understand the full potential of our products and act as liaison between the client and customer service. Be responsible for collaborating with different work groups and departments to improve customer support programs and enhance customer satisfaction.

  • Follow through with any incoming project quotes gathered through any online customer facing communications tools., i.e., website, social media, direct mail
  • Provide regular updates to clients on the progress of customer service projects and campaigns that directly affect each client
  • Develop open and effective channel of communication with each client that can be employed by other departments as well
  • Coordinate internal projects and determine the best utilization of resources to increase customer satisfaction
  • Project management of comprehensive orders and campaigns within the Creative Services and Mailing areas
  • Become the reliable point of contact for each customer that is required to establish a strong business relationship
  • Attracts potential customers by answering product and service questions; suggesting information about other products and services
  • Opens customer accounts by recording account information
  • Maintains customer records by updating account information
  • Resolves product or service problems by clarifying the customer’s complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution
  • Understands and holds team accountable to work within pre-set budgets set by job ticket or the scope of work. Keep detailed track of time spent on each job, and communicate with sales or account manager when your time exceeds budget
  • Knowledge of postal software and up-to-date with USPS regulations
  • Knowledge of variable data software and programming. Coordinate direct-mail projects

Weekly Responsibilities

  • Makes list of what needs to be accomplished in Monday A.M., follow-up on Friday P.M. to make sure all was accomplished
  • Follow up on all email and web inquires in a personal manor
  • Follow-up with any online job proposal submitted by company website, and Oregon’s social media
  • Work with the team to make sure all orders/estimates have been completed by end of day/week


  • Bachelor degree or Associate’s degree in Marketing Communications or equivalent
  • Proficient using Windows & Apple operating systems, software and general office applications
  • Microsoft Office (Word, PowerPoint, Excel)
  • Ability to meet tight deadlines
  • Committed to producing quality work for clients
  • Ability to work independently or as a team member
  • Willingness to accept and respond to leadership direction
  • Excellent verbal and written communication skills
  • Enthusiasm for process and attentiveness to different project goals
